Creating Mailing Labels Using Microsoft Word
**Create a main document
for labels
1. Open Microsoft Word.
2. Click File, New Blank
Document.
3. Click Tools, Data Merge
Manager.
4. In the Data Merge Manager
window, click Create under Main Document, and then click Labels.
5. Under Printer information,
click the type of printer you use.
6. Under Label products,
click the label manufacturer.
7. Under Product number,
click the type of label that you want to use. The height, width, and page size
of the selected type appear under Label information. (For additional
information on a selected type, click Details).
8. Click OK.
**Create a new data-merge
data source in Word
9. In the Data Merge Manager
window, click Get Data under Data Source, and then click New Data Source.
10. In the Field names in
header row box, review the data fields. Word will include in the data source
all data fields in the Field names in header row box unless you delete or
change them.
To delete a field, click the field name in the Field
names in header row box, and then click Remove Field Name.
To add a field, type a new field name in the Field
name box, and then click Add Field Name.
To change the order of the fields, click a field name
in the Field names in header row box, and then click one of the Move arrow
buttons.
11. When the Field names in
header row box contains all of the fields you need, click OK, and then save the
data source.
12. In the Data Form dialog
box, type the information for each field, and then press RETURN.
If no information exists for a particular field, press
RETURN to skip the field. Do not type spaces in the box.
To start a new record, click Add New.
13. To return to the main
document after you've entered the information, click OK.
**Edit the labels for the
main document

In the
Edit Labels window, click Insert Merge Field, and then click a desired field.
The inserted field appears under Sample label.

Enter any additional text or desired formatting.

Click OK.
„ You can make text or formatting changes in the main document
by using Font or Paragraph under Format.
**Display merged data in
the main document
17. With the main document in
the active window, click Preview (in the Data Merge Manager window) and then
click on the icon <<
ABC>> to merge the data.
**Print the merged data

Once the
data has been merged and displayed in the main document you will need to click
on Merge (in the Data Merge Manager window) and then click the first icon that
merges to the printer.

UP TO A SHEET OF
LABELS TO MAKE SURE THE MARGINS, ETC. ARE OKAY. YOU MAY NEED TO CHANGE THE MARGINS DEPENDING ON THE PRINTER
YOU ARE USING.
